Volunteer Position Descriptions at a Glance
- Bathrooms: Check bathrooms every 30 min. throughout the entire meet. Replenish toilet paper and hand soap. Empty trash. Kid-friendly position.
- Concessions: Sell food items at the meet.
- Concessions - Set-Up: Set up concession area for home meets. Openings for Friday evening and Saturday morning.
- Concessions - Clean-Up: Clean concession area at the end of home meets. Wash dishes, return non-perishable food and equipment to storage shed.
- Event Announcer: Use bullhorn to announce events as they report to ready bench, call for missing swimmers, and make general announcements. A loud but clear voice is a requirement.
- Event Sign Changer: Flip numbers on the event sign to correspond with the event currently swimming.
- Hospitality: Prepare igloo coolers with water and Gatorade. Serve water and Gatorade to timers, scribes, ready bench volunteers, coaches, and officials during their shift on deck. Clean coolers and return supplies to storage closet at the end of the meet. Kid-friendly position for those with children who can walk alongside or even help.
- Meet Set-Up Friday PM: Reports at 5:30pm. Heavy lifting required. Assemble tents, rope off restricted areas. Set-up ready benches and chairs for swimmers.
- Meet Set-Up Saturday AM: Report at 5:30 a.m. for home meets. Set-up lane ropes and tents. Line trash cans.
- Meet Tear Down: Report during or immediately following Event #80. Work with meet set-up chairman putting away starting blocks, lane ropes, tables & chairs, team tents, caution tape, trash cans, etc. Before leaving, check out with chairman to receive volunteer credit. Kid-friendly job for those with children who don't need constant supervision or with older children who can help.
- Parking: Report at 5:30 a.m. for home meets. Prepare parking area, place parking signs, and divert traffic to correct parking areas.
- Ready Bench: Put swimmers in lane and heat order as written on the heat sheet. Report on time. Do not leave shift until replacement arrives. 1st Shift must report 30 min. before the meet starts. This person needs to have a loud voice and be comfortable managing a lot of children.
- Ready Bench On Deck: Once swimmers are on-deck, keep them in correct heat and lane order. Place orange cones on dive blocks when a lane does not have a swimmer. One person works lanes 1-3. Another person works lanes 4-6. Do not leave shift until replacement arrives.
- Runner: Collect completed time sheets from scribes following each event and deliver to computer room. Post home meet event results as they are printed off in the computer room. Kid-friendly position.
- Scribe: Report to Saturday morning timer/scribe meeting (~8:00) to receive instructions and lane assignment. Write swimmers' times on time sheet as reported by timers. Each swimmer should have 3 times - 1 from each of the 3 timers.
- Swimmer Check-In: Arrive 15 min prior to swimmers on meet mornings. Acquire a meet entry report from the volunteer coordinator. Write event # and stroke type on swimmers' arms. Shift ends before the meet starts.
- Timer: Report to Saturday morning timer/scribe meeting (~8:00) to receive instructions and lane assignment. Time each heat using stopwatch. Report time to scribe. 3 timers are assigned to each lane.
- Trash: Check large trashcans throughout the entire meet area every 30 minutes, empty as needed, and dispose of trash in large trash receptacles located between the bathrooms and computer room. Trash bags are kept in the clubhouse. The trashcans by the concessions area fill fast and should be checked more often. All day, kid-friendly position.
- Verifier: Work in computer room verifying time sheets. *Great positions for those with babies who need to nap in a cool place.
